Start with the correct document version
The recipient may require a specific extract, an unbroken seal, translation or a particular certification chain. Do not open the envelope until requirements are checked. Ask the recipient to confirm the exact document name, the information it must contain and how recently it must have been issued.

Order the type of extract specified by the recipient. Ask whether the envelope must remain sealed, whether the document must be translated and whether a signature or seal needs certification before submission.

Original, copy or translation?
An original is the issued document. A certified copy shows that the copy has been compared with the original. A translation reproduces the content in another language but does not automatically replace requirements for an original or certification. The recipient’s instructions should therefore state which items must be submitted together.

Prepare a complete review
Scan the entire document, including reverse sides, seals and related attachments. Redact information that is not needed for the assessment, but keep relevant names, dates, issuing body, signatures and seals visible.
