Choose by what needs to be certified

Does the recipient need to verify an official signature, that a copy matches the original or that a person signed the document? The answer determines whether you need an apostille, copy certification, signature certification or a longer legalisation chain.

  • Apostille to authenticate the origin of a public document internationally
  • Certified copy when the original should not be submitted
  • Witnessing or signature certification when the signatory must be verified
  • Legalisation when the Apostille system does not apply

Start online – continue through the correct channel

A scanned copy is often sufficient for the first review. Once the document and recipient requirement are clear, you will know whether the case can continue by post or whether the signatory must attend in person with the original and identification.

Apostille case by post

Get instructions before sending an original. Tracked shipping and a clear return address reduce risk in the postal process.

03

Document notarisation

Notarisation may concern a signature, copy or other fact. The exact act must match the recipient’s requirement.

04

Certified copy

A certified copy shows that a copy has been compared with an original. It does not automatically make the document acceptable in every country.

05

Signature certification

Do not sign in advance if the recipient requires signing in front of a notary public. Bring valid identification as instructed.

06

Legalisation of Swedish documents

When the destination or document is not covered by the apostille process, a legalisation chain through the Swedish Ministry for Foreign Affairs and sometimes an embassy may be required.

Walk-in or booked visit with a notary public

Apostille 365 does not operate its own walk-in office. We help assess whether attendance is required and which documents an authorised notary public may need to see.

Apostille for documents issued abroad

A document is normally apostilled by the competent authority in the country where it was issued. We help distinguish that foreign process from any further handling in Sweden.

FAQ

Frequently asked questions

How do I start if I do not know what my document needs?

Start with the document type, the country where it will be used and the intended recipient. If you have instructions or a checklist from the recipient, include them. This makes it easier to distinguish between an apostille, notarisation, a certified copy, translation and legalisation.

Do I need to send the original straight away?

You can usually start with a clear scanned copy. If the original is needed for comparison, signature certification or an apostille, you will receive separate instructions on what to send and how to label it.

Ready to organise your documents?

Get a clear checklist for your case

State the document, country and recipient. You will receive a summary that makes the next step easier to assess.
